SUMMARY The Quality Officer supports the implementation, maintenance, and continual improvement of the quality management system across Saybolt India inspection, testing, and laboratory operations. The role monitors compliance with applicable ISO standards, approved test methods, client requirements, internal procedures, and relevant Indian regulatory and accreditation requirements. The Quality Officer coordinates internal audits, document control, non-conformity and corrective action follow-up, quality records, training records, equipment calibration status, proficiency testing, and quality performance reporting. The position works closely with operational and laboratory teams to promote consistent service quality, impartiality, data integrity, and timely resolution of quality issues.
Reporting Relationships
· Reports administratively to the Country Manager, Saybolt India, or another manager designated by the Company. · Receives functional guidance from the applicable Regional or Global Quality Assurance function. · Works closely with laboratory managers, branch managers, inspectors, chemists, operations teams, HSE personnel, and other internal stakeholders.
Duties and Responsibilities
· Support the implementation and maintenance of the Saybolt quality management system across India operations. · Monitor compliance with ISO 9001, ISO/IEC 17025 where applicable, ASTM, IP, API, BIS, GLP principles, approved methods, internal procedures, and client-specific requirements. · Maintain controlled quality documentation, including quality manuals, policies, standard operating procedures, work instructions, test methods, forms, registers, and records. · Ensure that only current and approved versions of documents are available at points of use and that obsolete documents are appropriately withdrawn or identified. · Plan, coordinate, and conduct internal quality audits; document findings and follow up agreed corrective actions through timely closure. · Record and monitor non-conformities, observations, deviations, and opportunities for improvement, and support teams in completing root-cause analysis, corrective action, and preventive action. · Maintain CAPA and audit registers, monitor due dates, verify supporting evidence, and escalate overdue or ineffective actions. · Support the investigation of client complaints and quality incidents, including evidence collection, root-cause analysis, action planning, response preparation, and effectiveness review. · Compile and analyse quality data and key performance indicators to identify trends, recurring issues, risks, and improvement opportunities. · Prepare periodic quality reports and provide accurate information for management review meetings. · Maintain the equipment calibration, verification, maintenance, and validation status registers and follow up upcoming or overdue activities with responsible teams. · Support proficiency testing, inter-laboratory comparisons, method verification or validation, reference-material control, and other laboratory quality-control activities where applicable. · Maintain training and competency records and coordinate quality-related induction, refresher training, method updates, and awareness sessions. · Assist with external audits, accreditation assessments, surveillance visits, and client audits, including preparation of evidence and follow-up of findings. · Verify that quality records are complete, legible, traceable, securely retained, and readily retrievable in accordance with retention requirements. · Promote impartiality, confidentiality, ethical conduct, data integrity, and the avoidance of conflicts of interest in inspection and laboratory activities. · Identify quality or compliance risks and promptly escalate significant issues to management and the applicable quality function. · Participate in continuous-improvement projects and support the standardisation of quality practices across Saybolt India locations. · Follow applicable health, safety, security, and environmental requirements when working in offices, laboratories, terminals, refineries, ports, client sites, and other operational locations. · Demonstrate the Saybolt Operating Code by delivering value, working safely and efficiently, being proactive and accessible, maintaining consistency and impartiality, and supporting positive momentum. · Perform other quality-related duties reasonably assigned by the Company consistent with the scope and level of the position.
Authority and Escalation
· May request correction or completion of quality records and supporting evidence. · May recommend containment or temporary suspension of an activity where a significant quality, impartiality, data-integrity, or compliance concern is identified. · Must promptly escalate any material non-conformity, repeated deviation, falsification concern, overdue critical calibration, or risk to the validity of inspection or test results. · Final operational or commercial decisions remain with the authorised manager unless specific authority is delegated in writing. QUALIFICATIONS · Bachelor's degree in chemistry, engineering, science, quality management, or a related discipline. · Typically three to five years of relevant experience in quality assurance, laboratory quality, inspection services, testing, oil and gas, petrochemicals, chemicals, or a related industry. · Practical experience with quality-management documentation, audits, non-conformities, CAPA, calibration control, and quality records. · Internal auditor training for ISO 9001 and/or ISO/IEC 17025 is preferred. · Experience supporting NABL, accreditation-body, regulatory, or client audits in India is an advantage.
Knowledge Skills and Attributes
· Working knowledge of ISO 9001 and ISO/IEC 17025; familiarity with ASTM, IP, API, BIS, GLP principles, and inspection or testing practices relevant to Saybolt operations. · Understanding of document control, audit techniques, root-cause analysis, CAPA, risk-based thinking, measurement traceability, and record retention. · Strong attention to detail, organisation, follow-through, and commitment to accurate records. · Sound analytical and problem-solving skills, with the ability to distinguish evidence, root cause, corrective action, and effectiveness. · Clear written and verbal communication skills in English; working knowledge of relevant local languages is an advantage. · Ability to work independently, manage competing priorities, and collaborate with operational teams without compromising quality or impartiality. · Confidence to raise concerns constructively and escalate significant risks appropriately. · Proficiency in Microsoft Office applications and the ability to use quality-management, document-control, or laboratory information systems. · Willingness to travel within India to laboratories, branches, ports, terminals, refineries, and client locations as required.
