KEYSYS Role: Project Manager Reports To: Director of Project Management Works With: Sales Team | Technical Teams | Clients Role Overview The KEYSYS Project Manager serves in a critical, central role in the project life-cycle and creating Raving Fans, by serving our clients with operational excellence, personalized service and memorable moments. The Project Manager owns project scope, milestones, and deliverables for all assigned projects. Role Responsibilities General

  • Communicate clearly and effectively with stakeholders and internal team members to plan, execute and complete projects on time and on budget. Manage projects using all project management resources available. Sales/Pre-Sales These responsibilities heavily overlap with the Pre-Sales Tech. However, it is important that the Project Manager understands the work being requested by customers so that it can be faithfully executed by the technical teams after signature. These Sales/Pre-Sales responsibilities only apply to projects that are new development. They do not apply to Staff Augmentation or Support.
  • Work in conjunction with the Sales Team and the Pre-Sales Tech to ensure that the scope, milestones and deliverables are sufficiently known and understood and are ready for estimation. Participate in estimation meetings that are scheduled by CRO and led by Pre-Sales Tech
  • Work with the Pre-Sales Tech to define technical & business requirements, and success criteria that includes:
  • Business value
  • Project purpose / vision
  • Business requirements
  • Milestones
  • Budget
  • Work in conjunction with Pre-Sales Tech to create JIRA tickets and user stories in accordance with the proper format for KEYSYS documentation
  • Work with Sales Team and Team Leads to determine anticipated start time for the proposed work and communicate back to stakeholders
  • Attend weekly meetings to assist with team resources and assignments needed to execute and deliver projects in accordance with Statement of Work
  • Communicate any necessary business knowledge about a project to the assigned team after customer signature Active/Signed Projects
  • Work with Tech Lead and stakeholders to prioritize active, new development project backlog (signed work)
  • Establish prioritization of projects for technical teams
  • Work with the Technical Leads to prioritize support and enhancement work
  • Track project scope to ensure requirements aren’t increasing without proper authorization and communication with stakeholders and internal teams
  • Work with other Project Managers before Refinement and Sprint Planning to deconflict and prioritize projects
  • Lead Refinement and Sprint Planning with technical teams
  • Attend daily scrums with technical teams
  • Remain informed on project status (milestones, work in progress, and budget)
  • Create and maintain comprehensive documentation including weekly status reports that are distributed to all stakeholders
  • Meet budgetary objectives and make adjustments to project constraints based upon budget
  • Schedule and lead weekly or biweekly status meetings and showcases
  • Act as the primary point of contact for all stakeholders of new development projects / signed work Planning Meeting Project Managers should attend the weekly Planning Meeting with an understanding of each project. This includes but is not limited to projects that:
  • Have upcoming deadlines
  • Are behind or ahead
  • Could take on more team members
  • Could be paused
  • Could be handed off to another team Completed Projects
  • Obtain Customer Sign Off
  • Conduct a project retrospective
  • Ensure project is transitioned to the Business and Support Analyst, if there is a support agreement
  • Ensure project is properly offboarded and archived
