We have an exciting opportunity for a polished, organised and highly capable Executive Assistant/Buyer Manager to join our Albert Park team, working directly alongside one of our most successful agents. Professionalism We strive for excellence in every moment. About the Role This is a hybrid role, combining Executive Assistant and Buyer Manager. Working directly alongside one of our top performing agents, you will split your focus between running their business behind the scenes and managing buyers in the field. This frees the agent to concentrate on listing, negotiating and selling. As Executive Assistant, you will manage the agent's diary, communications and campaigns, attend listing appointments and work closely with our internal marketing and administration teams to keep every campaign on track. As Buyer Manager, you will own the buyer pipeline across every campaign. From the first inspection through to contract, you will be a significant point of contact for buyers, building trust, understanding their needs and matching them with the right property. The successful candidate will quickly learn how the agent operates, anticipate what is coming and take ownership before being asked. - Manage the agent's diary, appointments, inspections and correspondence, prioritising time around revenue generating activity.
- Attend listing appointments and prepare proposals, presentations and appraisals.
- Coordinate sales campaigns from start to finish, including advertising approvals, marketing schedules, photography and copy, working closely with internal marketing and administration teams.
- Act as the first point of contact for vendors, keeping them updated throughout each campaign.
- Maintain an accurate and active CRM database, ensuring no lead or opportunity is missed.
- Assist the Business Manager with vendor reports and a consistently exceptional client experience throughout each campaign. Buyer Manager
- Manage all buyer enquiries across the agent's campaigns, conducting private inspections and open homes and following up every lead promptly.
- Qualify buyers, track their requirements and match them to current and upcoming listings, including off market opportunities.
- Keep the agent informed on buyer feedback and interest levels, and support negotiations through to exchange. Skills, Experience & Qualities
- Experience as an Executive Assistant, Sales Assistant, Buyer Manager or in a client facing role within a premium service environment.
- Outstanding organisational and time management skills, with the ability to manage a busy diary and multiple campaigns at once.
- Genuine enjoyment in working with people and building lasting relationships, particularly with buyers.
- Immaculate presentation and the confidence to engage professionally with high net worth clients.
- Strong initiative and sound judgement. You see what needs doing and act on it.
- Excellent written and verbal communication.
- Exceptional attention to detail.
- A high level of professionalism, discretion and personal accountability.
- Current Agent's Representative registration.
