Supports in monitoring and adherence to NCAA and conference rules, regulations, and eligibility requirements for student athletes. Supports the preparation of compliance documentation, coordinates actions related to violations Job Description: Position Salary Range: • $54,000 - $57,000 per year; offer dependent on experience University Registrar Services seeks a Certification Coordinator to support academic records management, degree progress evaluation, academic policy, and student records compliance, with a focus on athletic certification. This role maintains and reviews academic records, applies university policy, supports FERPA compliance, and ensures compliance with institutional, conference, and NCAA eligibility standards for student-athletes. Working closely with Sun Devil Athletics, the Faculty Athletics Representative, and campus partners, the Certification Coordinator serves as the university's primary academic certification specialist for student-athletes — ensuring accurate records, evaluating degree progress, interpreting eligibility requirements, and maintaining audit-ready certification processes. The Coordinator also supports broader Registrar functions, including FERPA compliance and records integrity — tracking and documenting FERPA-related requests and compliance matters, and assisting with identity theft and suspected fraud cases involving student records, working with university partners to ensure these are documented, researched, and resolved per policy. Essential Duties:
- Maintain accurate academic records — enrollment status, degree audits, graduation progress, certifications — in student information systems.
- Review academic records, degree audits, enrollment history, transfer coursework, and progress-toward-degree requirements.
- Facilitate end-to-end NCAA certification, ensuring timely, accurate eligibility determinations for student-athletes across 26 teams ahead of competition deadlines.
- Apply university policy, ABOR requirements, Big 12 regulations, and NCAA legislation to determine academic eligibility.
- Serve as primary liaison between University Registrar Services and Sun Devil Athletics on certification matters, working with Athletics staff, the FAR, and other partners.
- Ensure certification decisions are fully documented and audit-ready; prepare certification spreadsheets, eligibility reports, and supporting documentation.
- Prepare institutional, conference, and NCAA reporting, including APR, GSR, and eligibility reporting.
- Review undergraduate graduation applicants for Moeur Award eligibility.
- Track documentation for FERPA matters — requests, incidents, reviews, resolutions, outcomes.
- Support review of identity theft and fraud matters involving student records — documentation, case tracking, research, coordination with partners.
- Collaborate on cross-functional projects supporting Registrar operations, compliance, student persistence, and degree attainment.
- Perform intricate duties requiring attention to detail, timeliness, professionalism, tact, diplomacy, discretion, and sound judgment.
- Perform other duties as assigned. Desired Qualifications:
- Experience in a registrar's office, student records, degree audit, enrollment or graduation services, academic advising, athletics compliance, or related higher ed setting.
- Experience interpreting academic policy and complex eligibility/compliance requirements.
- Experience reviewing records and making determinations per established policy.
- Knowledge of NCAA eligibility regulations — progress-toward-degree, transfer eligibility, athletics compliance.
- Knowledge of FERPA and student records privacy, including handling sensitive/confidential information.
- Experience with compliance case tracking, records requests, incident documentation, or fraud review.
- Experience with degree audit systems, student information systems, reporting tools, and data platforms.
- Experience with data tracking, reporting, and database management.
- Strong analytical and problem-solving skills with meticulous attention to detail.
- Ability to analyze complex information and clearly communicate decisions to stakeholders.
- Ability to manage competing priorities and adapt to shifting deadlines.
- Professionalism, discretion, sound judgment, and appropriate handling of confidential information.
- Customer service experience in collaborative or high-volume environments.
- Proficiency with Google Workspace, Microsoft 365, and relevant data platforms.
- Evidence of ability to clearly communicate to perform essential functions. Working Environment: Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse. Required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds. May be required to perform tasks in the field within and/or across University campuses. This position is not eligible for sponsorship by the Office of University Registrar Services; therefore, the applicant must be eligible to work in the U.S. without sponsorship. Subject to ASU policy and dean or vice president-level approval, this position may be eligible for a hybrid work arrangement where employees spend a minimum of 60% of their regular work week at the Tempe campus.
