What this job involves This position provides superior internal client support for project teams across the PDS business unit. The PMO Coordinator serves as a critical administrative and operational support resource, managing project documentation, accounts receivable, and marketing materials while ensuring projects run smoothly. This role requires strong organizational skills to handle multiple tasks including preparing reports, maintaining templates, managing financial tracking, and supporting business development efforts. The coordinator works closely with project managers and regional operations teams to maintain best practices and meet financial targets across regional and national portfolios. Your day-to-day tasks will include:

  • Prepare project management reports and meeting minutes, and manage all project documentation including contracts, budgets, and schedules to ensure accurate record-keeping
  • Manage accounts receivable according to regional guidelines, ensuring all receivables are maintained at levels that do not exceed planned working capital charges set by corporate finance
  • Maintain best practices templates on SharePoint sites and ensure project teams have access to current standardized documentation and resources
  • Provide administrative support including copying, arranging travel, preparing expense reports, organizing meetings and lunches, and coordinating WebEx conferences
  • Support marketing functions including developing presentations, preparing responses to proposals, and conducting research for business development opportunities
  • Proactively manage project-related issues on assigned accounts and demonstrate proficiency in all required project management technology and software applications
  • Assist local teams in meeting targeted financial numbers on regional and national levels as determined by the Management Executive Committee Required Qualifications:
  • Bachelor's Degree from an accredited institution
  • 0-2 years of practical work experience
  • Strong interpersonal skills with the ability to interact effectively with executive-level internal and external clients
  • Organizational and detail-oriented mindset with the ability to prioritize and manage differing business needs
  • Basic proficiency with Microsoft Office products (Word, Excel, PowerPoint, Outlook)
  • Ability to multi-task effectively in a fast-paced environment
  • Ability to work both collaboratively within a team structure and independently with minimal supervision Preferred Qualifications:
  • Bachelor's Degree in Accounting, Business, Architecture, Engineering, or Construction Management
  • Accounting experience or previous work in real estate support roles for brokers or project managers
  • Knowledge of the construction or commercial real estate industry
  • Experience with SharePoint or document management systems
  • Familiarity with accounts receivable processes and financial tracking
  • Experience supporting marketing or business development activities including proposal preparation
