Job Title: Senior Executive Assistant to C-Suite Location: Riedman Campus Hours Per Week: 40 Schedule: Monday

  • Friday 8am
  • 4:30pm SUMMARY The Senior Executive Assistant to the C-Suite supports Executive Vice President's in the Executive Suite. They act as an ambassador of the organization. They serve as the primary point of contact for assigned Executive Vice Presidents in the C-Suite. 'They act as a gatekeeper ensuring that calls and inquiries are routed to the appropriate level of department subject matter expert, resolve routine issues that arise; research information to provide guidance to assigned executives on a broad range of issues and special projects. RESPONSIBILITIES
  • Proactively obtains data and/or information to prepare assigned executives for meetings.
  • Independently plans, directs, and oversees and exercises authority over administrative functions of the assigned executives' departments.
  • Independently manages information of a highly sensitive nature while maintaining confidentiality and exercising sound judgment.

  • Provides calendar and meeting management ensuring appropriate prioritization, sequencing, preparation, follow-up, and closure.
  • Prepares meeting minutes, agendas and itineraries.
  • Prepares drafts of presentations, correspondence, letters, memos, contracts and forms.
  • Provides preparatory support for Board meetings.
  • Manages executive reimbursements as well as department vendor payments.
  • Works on and exercises authority on special projects and confidential assignments as needed.
  • Develops and implements policies, procedures and office practices.
  • Plans, organizes, and attends senior staff meetings and departmental staff meetings.

  • Bachelor degree or equivalent combination of education and/or experience.
  • Previous experience supporting vice president level or above required.
  • Considerable experience in a front-line visitor facing reception role required.

Preferred Qualifications

  • Advanced computer and keyboard skills, including word processing, spreadsheets, databases, graphics and internet research.

  • Sedentary roles are primarily office-based and require prolonged sitting (67–100% of the workday) with minimal physical effort and lifting limited to under 10 lbs. Fine motor skills are necessary for computer work, writing, and telephone use, supported by clear visual and auditory ability. Cognitive and emotional demands are high due to extended concentration, frequent interruptions, independent decision-making, and information processing. Although physical exposure is low, administrative areas within healthcare environments may occasionally involve contact with infectious agents. Some roles may require flexible hours, TB screening, or a valid driver’s license. For disease specific care programs refer to the program specific requirements of the department for further specifications on experience and educational expectations, including continuing education requirements. PAY RANGE: $30.50 - $45.40 CITY: Rochester POSTAL CODE: 14617 The listed base pay range is a good faith representation of current potential base pay for a successful full time applicant. It may be modified in the future and eligible for additional pay components.
