Description SUMMARY This part-time position (12-15 hours a week) is responsible for handling all outgoing mail and shipping needs as well as general office errands. This would include but is not limited to pick-ups and deliveries for the organization, as well as some special projects for all staff by performing the following duties.

Essential Duties and Responsibilities

include the following. Other duties may be assigned:

  • Examines outgoing mail for appearance and seals envelopes by hand or machine, collects outgoing mail and stamps mail by hand or with postage meter, weighs mail to determine correct postage and determines the most economical method to mail material according to weight, rate and classification.
  • Keeps abreast of the shipping programs needed to perform duties – UPS WorldWide Ship, NeoShip, Click N Ship, USPS postage machine, etc. and understands the appropriate time to use each program to maximize efficiency and cost-savings.
  • Contacts carriers to make arrangements and to issue instructions for the loading of materials.
  • Maintains inventory of shipping materials, envelopes, stationery, and other printed materials located in supply room.
  • Maintains and restocks the Catch Des Moines kiosks with visitor materials at the Iowa Events Center, Des Moines Marriott Downtown and Iowa State Fairgrounds.
  • Changes airport box signage at the Des Moines International Airport.
  • Makes deliveries and pickups for the organization.
  • Keeps the CVB Vehicles in a presentable and ready-to use condition, ensuring the interior and exterior are clean and there is gas in the vehicle. May arrange service for the vehicle from time to time.
  • Reviews carrier invoices, attaching proper backup documentation for all related shipping expenses from vendors such as Quadient, FedEx, USPS, UPS and King Delivery. Prepares a monthly expense report with proper backup documentation for all expenses.
  • Assists with preparation and mailing of projects when needed such as quarterly sales mailers or other projects by ordering mailing supplies, printing mailing labels and assisting with fulfilment.
  • Supports the preparation for internal and external events such as setup, teardown, pick-ups and deliveries.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. CERTIFICATES, LICENSES, REGISTRATIONS Valid driver’s license, personal vehicle and ability to be insured.

Other Skills and

ABILITIES: Ability to operate standard office equipment such as personal computer and ability to learn other computer and postage machine software programs.
