Job Description
We are looking for an organized professional with strong relationship-building skills to manage the operational routines of Facilities, maintenance, procurement, and corporate travel logistics. In addition to overseeing the day-to-day office infrastructure and supporting the hybrid/remote work model, you will lead the end-to-end management and annual calendar of the company's national and international events. - Oversee the day-to-day operations of the office, ensuring cleanliness, organization, inventory control, and dispatch of supplies for the office and home-office setups, supporting all areas of the company.
- Coordinate preventive and corrective maintenance routines, manage renovations, repairs, and the setup of new facilities.
- Provide administrative support for procurement processes and the implementation of Facilities standards and procedures.
- Work closely with the IT team (on equipment shipping and receiving logistics), Talent, and Finance (on invoice flow, payment requests, and reimbursements).
- Responsible for booking flights, accommodations, and transfers for domestic and international travel for the team and leadership. Events
- Participate in the planning and lead the end-to-end execution of internal events (kickoffs, all-hands, meetups) and occasional external events (festivals, trade shows, summits, client and partner activations), coordinating all logistics, including venue oversight, setup, equipment, transportation, and travel.
- Coordinate leadership's schedule at events, managing engagements with clients, partners, and guests.
- Track the annual events calendar, cross-referencing strategic dates, industry seasonality, and leadership's schedule to support advance planning.
- Update and maintain the database of approved vendors (venues, production companies, printing services, promotional items, catering), with post-event performance evaluation. REQUIREMENTS
- Prior experience as an analyst in Facilities routines, corporate logistics, and event organization.
- Fluent English (required).
- Proficiency in Excel/Google Sheets and task management tools.
- Must reside in São Paulo with availability to work on-site; mandatory presence on event days and availability for domestic and international travel.
