City/State: Newburgh, New York Department: Strategic Initiatives Work Shift: Day Work Days: MON-FRI Scheduled Hours: 8:30 AM-4:30 PM Scheduled Daily Hours: 7.5 HOURS Pay Rate/Range: $70000 - $80000 Sign-On Bonus: N/A Job Summary The Project Coordinator supports the planning, implementation, and monitoring of a broad portfolio of strategic, operational, and business initiatives. The role will provide project coordination and analytical support to initiatives aligned with MSLC's strategic priorities, including organizational growth, operational improvement, financial performance, patient care, and workforce initiatives. Working closely with the Director, the Project Manager, and departmental stakeholders, the Project Coordinator will assist in the tactical and day-to-day elements of developing project plans, tracking milestones and key performance indicators (KPIs), preparing analyses and reports, coordinating meetings, documenting decisions and next steps, and ensuring project deliverables remain on schedule. The role will support team research in analyzing clinical, operational, financial, and market information from internal and external sources to identify trends, support business planning, and inform strategic decision-making. May support other strategic planning activities, development of presentations and executive materials, grant and funding initiatives, and other special projects as assigned. Essential Functions

  • Patient Safety
  • Recognizes the importance of patient safety precautions as it relates to their specific department/area of responsibility. Consistently utilizes precautions and follows appropriate procedures to enhance patient safety in their daily operations.
  • Identifies and reports any potentially dangerous situations to their manager which could cause medical error/patient harm. Immediately acts, where appropriate, to minimize the risk of medical error.
  • Reports errors when these occur, to their supervisor and on an occurrence report. Participates, when appropriate, in Root Cause Analyses and/or other efforts to reduce risk of medical error/patient or staff harm.
  • Fiscal Responsibility
  • Supports the implementation of projects to reduce costs, enhance revenues, achieve effective utilization and quality goals and objective.
  • Analyze, and utilize information to develop and support management decisions.
  • Assists in the development and tracking of project budgets and Key performance indicators.
  • Strategic Initiative Coordination
  • Supports assigned strategic initiatives from planning through implementation by developing and maintaining project plans, timelines, milestones, deliverables, and responsibility assignments.
  • Monitors initiative progress, identifies potential delays, barriers, and resource needs, and promptly communicates concerns to the appropriate project leader. Assists in developing and implementing corrective action plans when necessary.
  • Maintains accurate and organized documentation for assigned initiatives, including meeting materials, status reports, decisions, approvals, deliverables, and supporting records.
  • Project and Performance Monitoring
  • Collects, validates, and supports data analysis to measure progress toward established goals, deliverables, and key performance indicators.
  • Prepares and updates dashboards, reports, presentations, and executive summaries for organizational leadership, committees, project teams, and external partners.
  • Assists departmental resources with Pillar population, and validation.
  • Ensures that project information is current, complete, and communicated appropriately to stakeholders.
  • Collaboration and Communication
  • Supports coordination of cross-functional teams involving clinical, operational, financial, administrative, and community stakeholders. Promotes collaboration and maintains effective working relationships across departments.
  • Schedules and supports project meetings, prepares agendas and supporting materials, records decisions and action items, and follows up with responsible parties to ensure completion.
  • Communicates project progress, risks, dependencies, decisions, and resource needs clearly and promptly to project sponsors and other appropriate stakeholders.
  • Strategic Planning and Business Development
  • Supports research, market assessments, benchmarking, and data analysis to advance strategic planning, service-line development, physician recruitment, ambulatory growth, and other organizational priorities.
  • Assists in preparing business plans, needs assessments, financial analyses, presentations, and recommendations for new programs, services, partnerships, and operational improvements.
  • Researches and identifies information, trends, and potential opportunities to strengthen organizational performance, improve processes, and advance the organization’s strategic objectives.
  • Compliance and Accountability
  • Performs assigned responsibilities in accordance with organizational policies, regulatory requirements, contractual obligations, grant requirements, and approved budgets.
  • Recognizes and promptly reports potential compliance, operational, financial, or reputational risks associated with assigned initiatives. Takes appropriate action within the scope of the position to minimize identified risks.
  • Maintains the confidentiality and security of organizational, financial, employee, physician, and patient information in accordance with applicable policies and legal requirements.
  • Professional Responsibility
  • Manages multiple assignments and competing priorities while maintaining accuracy, responsiveness, attention to detail, and adherence to established deadlines.
  • Demonstrates initiative, sound judgment, professionalism, and accountability in performing assigned responsibilities.
  • Performs other related duties and special projects as assigned in support of the organization’s strategic priorities.
  • Information Management
  • Maintains an environment of confidentiality with regard to any information pertaining to patients, staff, or hospital business except on a need –to-know basis.
  • Supports and utilizes hospital wide computerized information system as required.
  • Uses information systems to support and enhance departmental activities.
  • Demonstrates accountability for accurate collection of information and release of information to authorized individuals.
  • Ensures the policies regarding access to computerized files and use of access codes are followed. Qualifications
  • Bachelor Degree Bachelor’s degree in health information systems, healthcare administration, business, or similar, required.
  • Minimum of one (1) year of professional experience in project coordination, project management, business operations, healthcare administration, analytics, consulting, planning, or a related field. Demonstrated ability to organize and coordinate multiple projects, maintain project plans and documentation, track deadlines and deliverables, and work collaboratively with stakeholders across an organization. Experience in developing or monitoring key performance indicators (KPIs), dashboards, project trackers, or other performance-management tools. Experience in a healthcare provider setting is preferred. Strong organizational skills, attention to detail, and experience working with data and Microsoft Office tools. Intermediate experience with Microsoft Excel and PowerPoint is required, exposure to tools such as Microsoft Planner and Power BI is a plus but not required.
