The Client Services Coordinator provides critical support to partners, attorneys, and members of the legal team by performing tasks related to client onboarding, reporting, and data management. Client Services Coordinators focus primarily on supporting large clients, but may also work with smaller clients or perform tasks that are not specific to any particular clients. WR Immigration is looking to add a Client Services Coordinator to our Santa Monica team. This is a full-time, exempt role that can be performed remotely, in-office, or on a hybrid model. Remote applicants will be considered but must be located in the Pacific Time Zone. Client Services Coordinator Responsibilities:
- Participating in the onboarding process for new corporate clients, including collecting and organizing documents, working alongside the WRapid team to ensure internal platforms are set up accurately, and assisting Partners and Managing Attorneys with responses to client questions.
- Collaborating with Partners and Managing Attorneys to prepare and deliver a variety of documents such as reports, dashboards, and client-specific tools.
- Developing advanced familiarity with WRapid report generation, filtering, subscriptions, etc. so that reporting responsibilities can be met.
- Creating reports needed for legal team success.
- Using templates to draft and update billing, budgeting, and forecasting reports.
- Performing regular analysis of information gathered through standard reports and communicating applicable findings to Leadership/Partners.
- Assisting with maintaining data integrity in WRapid and monitoring/updating any data discrepancies.
- Supporting the implementation of initiatives to maintain and ensure integrity and organization of client information.
- Maintaining subject matter expertise for multiple major clients.
- Assisting Attorneys in the development of training materials for client presentations and assisting in presenting when appropriate.
- Working alongside Business Development team members to prepare and organize information for Requests for Proposal.
- Assisting with data integrity/adherence reviews.
- Assisting with employee record creation and case initiation, as necessary (usually only in the case of change of counsel with high volume initiation).
- Extracting, saving, and logging documents received for each foreign national and identifying missing documents.
- Performing thorough and accurate document management and data entry.
- Performing legal record-keeping and database management tasks.
- Other duties as assigned. Requirements:
- Bachelor’s degree (required) with strong academic background
- At least 2 years of business immigration as a paralegal working on NIV cases preferred
- If no paralegal experience, 3-5 years of business immigration experience in another role can be substituted
- Excellent attention to detail
- Proven organizational, process, and computer skills, including proficiency in Excel Compensation & Work Location: This is a remote, full-time regular position. The pay rate for this role is $65,000 - $70,000 annualized.
