Description We are seeking a highly organized, proactive, and detail-oriented HR Assistant to support our organization across human resources, employee relations, workplace safety, and compliance. This role serves as a resource for employees, supervisors, and leadership by ensuring effective onboarding, accurate employee records, training and certification tracking, benefits coordination, and compliance with California employment and safety requirements. The ideal candidate is a strong communicator who can balance confidentiality, attention to detail, and sound judgment while helping foster a positive, engaged, and safety-focused workplace culture. The essential functions include, but are not limited to the following: Human Resources & Employee Relations

  • Manage onboarding processes for all new hires including benefit enrollment and assigning and tracking mandatory new hire training courses (e.g. safety compliance, role specific modules).
  • Track employee skills, certifications, training completion, and other qualifications.
  • Update and maintain job descriptions and training packets for all company positions.
  • Assist with Benefit enrollment coordination during onboarding and open enrollment periods.
  • Maintain accurate and confidential personnel files and HR compliance documentation.
  • Perform company-wide audits on employee records, certifications, training completion, and compliance requirements.
  • Support employee engagement initiatives and HR communications.
  • Serve as primary point of contact for day-to-day administrative support including supply, shredding, and storage ordering, donation requests, mail distribution, and general clerical tasks as requested.
  • Support compliance with applicable federal, state, and local employment laws, with a strong focus on California requirements.
  • Other duties as assigned. Safety & Risk Management
  • Assist HR to improve the company's safety program in partnership with leadership.
  • Maintain safety policies, procedures, training materials, and required documentation to support OSHA and Cal/OSHA compliance.
  • Coordinate and facilitate safety training and maintain attendance records.
  • Monitor compliance with company safety policies, procedures, and applicable regulatory requirements.
  • Track workplace incidents, near misses, injuries, and safety concerns.
  • Assist with incident investigations, root-cause analysis, documentation, and corrective action plans.
  • Partner with management to identify potential risks and implement practical solutions.
  • Maintain accurate safety records, certifications, training documentation, and other compliance-related records.
  • Partner with supervisors to identify training gaps and development opportunities.
  • Establish and maintain clear training records to provide leadership with visibility into employee readiness and capabilities. Requirements Minimum Qualifications (Knowledge, Skills, and Abilities)
  • 2+ years of experience in HR administration, office administration, safety coordination, or a related support role preferred.
  • Bilingual proficiency in English and Spanish required .
  • Working knowledge of California employment practices and HR compliance requirements.
  • Knowledge of workplace safety practices and applicable OSHA standards; familiarity with Cal/OSHA requirements strongly preferred.
  • Experience with HRIS platforms such as BambooHR, ADP, Paylocity, or similar systems preferred.
  • Proficiency in Microsoft Word and Excel.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.
  • Ability to work independently, prioritize competing responsibilities, and adapt to changing business needs.
  • Strong interpersonal skills with the ability to establish positive working relationships with employees, supervisors, and leadership.
  • Ability to manage multiple priorities effectively in a fast-paced, growing organization.
  • Demonstrated discretion, flexibility, and willingness to work closely with senior management.
