Summary This position is part of the Arctic Energy Office, Department of Energy. As a Program Support Specialist, you will serve as primary point of contact for managing all office logistics, including complex scheduling, domestic and foreign travel for staff, procurement activities, and conference coordination, ensuring compliance with federal and departmental regulations. Veterans shape the future of energy As a Program Support Specialist, you will: Coordinate administrative operations and office logistics (including executive scheduling, space, property, and records management) to maintain efficient daily workflow for the office. Plan and execute domestic and international travel arrangements, ensuring adherence to federal travel regulations and international clearance requirements. Monitor operational expenditures and procurement activities, tracking office resources to ensure compliance with federal acquisition guidelines. Develop informational and outreach materials, such as reports, briefings, digital content, and toolkits aligned with agency messaging standards. Manage executive correspondence and action-tracking systems, ensuring timely coordination, distribution, and completion of high-priority organizational tasks. Qualifications GS-12

Specialized Experience

REQUIREMENTS: A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the next lower grade level GS-11 in the Federal service. Specialized experience for this position is defined as meeting all of the following: Coordinating day-to-day administrative support functions (such as managing calendars, scheduling meetings, or tracking action items) to support office operations. Drafting written materials (such as correspondence, meeting summaries, briefings, or newsletter articles) to share organizational information. Preparing visual communication materials (such as slides, flyers, or basic digital graphics) for internal or external audiences. Assisting with procurement or purchasing activities (such as preparing requisition documents or tracking basic supply and vendor expenses). GS-13

Specialized Experience

REQUIREMENTS: A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the next lower grade level GS-12 in the Federal service. Specialized experience for this position is defined as meeting all of the following: Coordinating executive-level office operations (such as schedules, property, records, or meetings) to support organizational workflow. Drafting written materials (such as reports, executive briefings, speeches, or articles) for diverse internal and external audiences. Creating visual outreach products (such as informational graphics, digital content, or presentation materials) to communicate program initiatives. Monitoring procurement actions and service contracts to ensure adherence to acquisition standards. "Experience" refers to paid and unpaid experience. Examples of qualifying unpaid experience may include: volunteer work done through National Service programs (such as Peace Corps and AmeriCorps); as well as work for other community-based philanthropic and social organizations. Volunteer work helps build critical competencies, knowledge, and skills; and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Limit your resume to no more than two (2) pages.
