Position Summary The Systems Specialist is responsible for supporting, maintaining , and optimizing the organization's software systems and technology resources. The agency's primary software that supports all departments is Microsoft, specifically Microsoft SharePoint . This position serves as the primary point of contact for software-related issues, user support, system administration, reporting, and vendor coordination. The Systems Specialist works closely with staff, leadership, vendors, and the organization’s long term service IT partner to ensure technology systems operate efficiently and effectively while supporting the agency's mission and strategic goals. Duties/Responsibilities -Provide technical support by identifying , troubleshooting, and resolving user issues related to software applications and technology systems. -Support and maintain Microsoft Office applications, Microsoft SharePoint and other agency software platforms. -Provide training, guidance, and ongoing support to staff on the effective use of software systems, Microsoft SharePoint, and technology tools. -Manage user accounts, permissions, access levels, and system personalization settings. -Compile data and create custom reports, dashboards, and documentation to support organizational needs. -Serve as a liaison between agency leadership, staff, external vendors, and other stakeholders during software implementation and enhancement projects. -Oversee the installation, configuration, maintenance, customization, and upgrading of software applications. -Monitor system performance and ensure software applications function optimally and securely. -Research emerging technologies, software solutions, and industry trends, providing recommendations to leadership for improvements and upgrades. -Evaluate current systems and processes to identify opportunities for increased efficiency, productivity, and automation. -Coordinate with software vendors to resolve issues, arrange repairs, and manage product replacements when necessary. -Maintain, prioritize, track, and respond to submitted IT support tickets within established service standards and according to urgency. -Collaborate closely with the organization's contracted IT service provider to support infrastructure and technology initiatives. -Communicate technology updates, security recommendations, and best practices to staff and leadership. -Perform basic laptop and workstation maintenance, including setup, troubleshooting, software installation, and hardware diagnostics. -Assist with software testing, implementation planning, data migration, and system enhancement projects. -Maintain accurate records of system configurations, software licenses, and technology assets. -Perform other related duties as assigned. ( Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. -Strong understanding of software administration, user management, and system support principles -Superior understanding of computer software systems. -Excellent time management and attention to detail. -Ability to explain technical issues to employees, volunteers and clients. -Proficient with or the ability to quickly learn an array of computer software. Education and Experience -Information Technology or Computer Sciences Associate's Degree , or equivalent experience and certifications -4 years' experience supporting Microsoft based environments Physical Requirements -Prolonged periods sitting at a desk and working on a computer. -Must be able to lift up to 15 pounds at times.
