Summary: The Client Services Coordinator supports the Client Services team by maintaining accurate and timely order status information for CII customers. The primary responsibility of this position is to manage open order reports for assigned customers, including reviewing open purchase order lines, coordinating with internal departments to obtain current status information, updating expected completion dates, and documenting delays and other relevant information. The Client Services Coordinator also provides administrative and coordination support for customer requests and other Client Services activities. Essential Functions and Responsibilities:

  • Maintain accurate and timely open order reports for assigned customers.
  • Review open purchase order lines and obtain current status information from the appropriate internal departments.
  • Coordinate with purchasing, production, engineering and other departments as needed to determine order status, anticipated completion dates and reasons for delays.
  • Update open order reports with current expected completion dates, delay information, notes and other relevant order details.
  • Follow up on outstanding information and unresolved order status issues to ensure open order reports remain current.
  • Identify orders requiring additional attention and communicate relevant information to the appropriate Account Manager or Client Services staff.
  • Support Account Managers by providing accurate and timely order status information for customer communications and project prioritization.
  • Maintain customer and order information in the ERP system and other company records as required.
  • Prepare and provide reports and information requested by Account Managers and other Client Services staff.
  • Coordinate routine customer-related requests, such as obtaining requested packing slips and following up on order documentation.
  • Assist with reviewing and tracking customer expedite requests and coordinate with appropriate internal departments as needed.
  • Communicate effectively with internal departments to obtain information and follow through on outstanding requests.
  • Maintain records as required.
  • Perform any other tasks or duties as assigned. Qualifications: Education and Experience:
  • Previous experience in customer service, order coordination, administrative support, manufacturing or a related field preferred.
  • Experience working in a production or manufacturing environment preferred.
  • Experience working with ERP systems and/or order management processes preferred. Knowledge, Skills and Abilities
  • Excellent written and oral communication skills.
  • Strong organizational and follow-up skills.
  • Strong attention to detail and accuracy.
  • Accurate data entry skills.
  • Computer proficiency, including a high level of proficiency in preparing and maintaining spreadsheets.
  • Ability to utilize and navigate complex databases to run reports and pull information.
  • Ability to review and interpret information from multiple sources and identify discrepancies or missing information.
  • Ability to communicate effectively and collaborate with multiple departments to obtain information and resolve routine issues.
  • Ability to take ownership of assigned responsibilities and follow tasks through to completion.
  • Effective time management and ability to prioritize multiple responsibilities.
  • Must be able to manage multiple customers, orders and requests in a fast-paced setting.
  • Capacity to handle pressure and adapt to rapidly changing conditions and priorities. Physical Requirements:
  • Position may require sitting for extended periods, standing and walking between factory floors, and/or traveling to the client and supplier sites. Will spend a large portion of time at computer and typing.
  • Vision at or corrected to 20/20 with ability to differentiate colors. Working Conditions: An office setting inside a manufacturing environment where temperature variations exist from opening doors to the outside environment, smoke particulates from soldering and other manufacturing operations frequently occur and there are occasionally noise levels that require hearing protection.
