Job Category: Academic Staff Employment Type: Regular Job Profile: Administrative Assistant Director (C) Job Summary: University Health Services (UHS) is looking for an Assistant Director of Operations to join our dynamic team. This position reports to the Associate Director of Operations and will partner with departmental leadership teams to support operations across the organization, including Medical Services, Mental Health Services, Survivor Services, and Prevention teams. This position is essential to ensuring the health and wellbeing of students throughout UW-Madison. This position serves as a key operational partner across UHS, responsible for overseeing the campus immunization disclosure policy requirements, ensuring that UHS is compliant with all accreditation standards, and supervising key operational team members for the Medical and Mental Health Services teams. This position will provide project management services, support the management of strategic initiatives, and serve as a partner to clinical and operational leaders to ensure the success of operational initiatives and day to day operational needs. This role will identify process improvement opportunities as well as ways for cross collaboration across departments within UHS. Key Job Responsibilities:
- Provides operational leadership and support for annual UHS immunization clinics across campus
- Serves as an advisor to divisional or executive leadership, coordinating administrative, operational and financial activities for assigned units and strategic initiatives
- Provides project management and coordination for strategic initiatives, including management of internal communication, communication strategies and applications
- Oversees the UHS wellness vending program
- Partners with clinical executive leaders in Medical and Mental Health Services to support operational initiatives and day-to-day operational needs, identify process improvement opportunities, and facilitate cross-unit collaboration
- Assists with the establishment of goals and priorities for the annual budget for all revenues and expenditures
- Engages in strategic planning and policies to ensure the strategic direction supports the needs of stakeholders
- Helps develop processes and procedures to improve the unit
- Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
- Ensures that related policies, procedures, and standards are maintained
- Oversees and manages compliance for the campus Immunization Disclosure policy, serving as the primary point of contact for the compliance program and organizing and leading UHS' Campus Immunization Leadership Team
- Evaluates, designs, and implements operations to align with the strategic direction

Required Qualifications:
- Minimum of five (5) years of progressively responsible experience in operations in an office setting, healthcare setting, higher education, or related field.
- Experience working within a compliance or regulatory program, such as accreditation or similar program.
- Previous supervision experience.
- Experience coordinating complex programs, projects, or operational processes across multiple stakeholders or work units.
- Experience developing and improving operational processes, systems or procedures, with the ability to interpret and apply policy and requirements.
- Strong written, verbal, organizational and interpersonal skills, with the ability to handle several projects or initiatives at the same time. Preferred Qualifications:
- Experience using operational data to develop reports, identify trends, and support strategic decision-making.
- Knowledge of higher education policies and regulations, including FERPA, HIPAA, and accreditation requirements.
