Description The Clinical Operations Manager plays a vital role in supporting the effectiveness, quality, and compliance of clinical service operations across the agency. Responsibilities include providing oversight and guidance to unlicensed and licensed clinicians with clinical-related needs and workflows within the agency’s electronic health record system. This position oversees all business operations related to clinical service delivery, including but not limited to clinical onboarding, training (OJT), productivity, compliance, and interdepartmental collaboration. Acting as a liaison between clinical staff and leadership, the Clinical Operations Manager ensures adherence to all organizational, state (e.g., DBHDD, DFCS), and payor regulations, while helping drive continuous improvement through data monitoring, process development, and staff support. The role works closely with other program and administrative teams—including admissions, compliance, training, billing, and utilization management—to ensure operational efficiency and overall program effectiveness. Training & Onboarding

  • Provide On-the-Job Training (OJT) for all new clinical staff during their first 90 days, including policies and procedures.
  • Coordinate and assist with onboarding tasks including system access, NPI setup, CAQH profile creation, and insurance credentialing in collaboration with HR, Training, and Billing teams.
  • Follow up to monitor and ensure completion of all required training in DBHDD Relias, CHRIS180 Relias, and Docebo for clinical staff on an ongoing basis.
  • Provide ongoing staff training and professional development as needed. Maintain organized systems for tracking staff performance and providing feedback.
  • Collaborate with Clinical Program Managers, Directors and the VP of CBMH regarding staff performance concerns, role fit, or termination decisions when necessary. Documentation & Compliance
  • Monitor staff documentation practices and compliance with timelines (e.g., 72 hours for assessments, 48 hours for notes).
  • Provide peer chart audits, Caseload Compliance Tracker guidance, and training on compliance-related procedures in coordination with the compliance department.
  • Run and analyze operational reports including: o Not Billed Report : Identify billing issues and collaborate with Billing and staff to resolve errors. o Failed Events/Activities Report : Monitor for documentation delays and address barriers. o Cancellations : Identify trends and support staff with scheduling issues. o Clients Not Seen in 30 Days : Ensure timely engagement and service delivery. o Treatment Plans Not Signed : Track completion and provide support. o Discharged Clients : Verify benefit end-dating and documentation closure. System & Process Management
  • Ensure clinical staff profiles are correctly configured in myEvolv (e.g., credentials, facilities, telehealth access).
  • Train staff on the use and navigation of key systems (myEvolv, myHP, myTelehealth,etc.).
  • Formalize and update internal clinical processes (e.g., client transfers, diagnosis updates, discharges).
  • Work closely with internal departments (Admissions, Billing, UM, Compliance, Training) to resolve issues and align interdepartmental processes.
  • Enhance and automate client-facing protocols to lessen barriers to service (online tools, referral forms, etc.)
  • Provide support and guidance to directors and managers regarding system process and updates.
  • Update the System Administrator and EHR Manager with clinical-related needs and workflows within the agency’s electronic health record system. Leadership & Operations
  • Participate in recurring organizational meetings (e.g., EHR meetings, Behavioral Health Team meetings, All Staff., etc.).
  • Serve as the clinical point person for clinical staff policy updates, compliance alerts, and operational changes.
  • Develop and implement operational improvements and support staff through changing management processes.
  • Facilitate and co-conduct 90-day evaluations in partnership with Clinical Directors.
  • Perform additional duties as needed to support departmental operations.
  • Provide weekly clinical supervision to CBMH or other CHRIS 180 staff in accordance with Georgia Composite Board rules and regulations. Audit & Credentialing Support
  • Assist with preparing for payor and accreditation audits by coordinating client and staff charts and ensuring documentation is audit ready.
  • In partnership with the training department, track staff training certifications, supervision logs, and uploading documentation to Relias as required in coordination with the Clinical Directors. Requirements
  • Master’s degree in social service/psychology/social work/counseling; preferably fully licensed to provide clinical supervision *
  • A minimum of two years of prior experience in clinical or therapeutic setting
  • An understanding of the concepts of trauma and social determinants of health
  • Knowledge of Medicaid and commercial insurance regulations and requirements
  • Skilled in assisting and interacting with consumers in their family homes and/or community.
  • Ability to effectively relate to consumers, parents/custodians of all social, economic, ethnic, and educational backgrounds, with firmness, fairness, and concern.
  • Solid decision-making ability as related to the safety and well-being of consumers, families, community, and staff.
  • Be guided by precedent and established policy and procedure in decision-making. This person will be required to analyze and react to difficult situations, often while under considerable stress and pressure,
  • Dependability, emotional stability and physical capability. This position requires some physical functions that are essential to satisfactory performance of the outlined job responsibilities, i.e., sitting, standing, walking, driving, speaking, hearing and the ability to physically restrain (when necessary).

  • Ability to collaborate with other staff to ensure best practices and sound decisions.
  • Ability to communicate using appropriate tones when corresponding verbally or written (as well as proper usage of grammar and spelling)
  • Ability to adapt and adjust to courses and be open to new ideas.
  • Ability to manage workload by having a clear understanding of task/project and set realistic timelines and goals.
