  • undefined. About the role This position provides senior-level support to the Head of the People and Communications team by assisting with daily administrative, operational and ad-hoc projects. What you’ll do
  • Appropriately handle inquiries while maintaining confidentiality and discretion on all matters.
  • Build and maintain trusted cross-functional relationships through accurate support and timely follow up.
  • Coordinate meetings, including meetings with senior leadership and internal and external partners, and assist in preparing materials and agendas.
  • Assist with drafting, editing, proofreading, and distributing HR correspondence and materials as needed.
  • Manage calendars and provide other support services, as necessary, for the People and Communications.
  • Liaise with other EAs at OPTrust, keeping them informed of relevant divisional and corporate updates.
  • Reconcile expenses and accounting entries and assist with processing invoices and expenses for the Head of People and the management team through Concur.
  • Organize and execute team-building and corporate events for the People and Communications and OPTrust, including procuring vendors, recommending logistics, negotiating prices, creating agendas, and overseeing events.
  • Lead the planning and delivery of key employee programs and events that enhance engagement, recognition, and workplace culture, including Service Awards, Employee Appreciation Day, and other organizational initiatives.

  • 4 years of administrative experience, including at least 2 years supporting a senior executive in a fast-paced organization.
  • College or university degree preferred.
  • Experience in the financial services industry is an asset.
  • Effective organizational skills and ability to efficiently multitask and prioritize work.
  • Demonstrated proficiency with Microsoft Office, including Word, Excel and PowerPoint, CoPilot and Adobe applications.
  • Takes initiative by bringing forward ideas that add value to the team.
  • Experience using software and platforms such as Concur’s expense reporting module and Workday.
  • Demonstrated ability to communicate and interact effectively at all levels of the organization.
  • Discretion and good judgment when dealing with sensitive and confidential matters.
  • Detail-oriented, with the ability to plan work by defining objectives and anticipating needs and priorities.
  • Effective written communication skills to compose a variety of correspondence and ensure the accuracy of materials.th

The base salary range for this position ranges from $67,000 to $80,000. The exact placement within the range will vary based on a variety of factors including: the candidate's knowledge, skills and experience relative to the requirements of the role, internal peers and the external market.
