The Senior Administrative Assistant is a key member of the CEPS Dean’s Office team, providing event and project coordination for college-wide activities and administrative support to the CEPS Technical Service Center and Associate Dean for Research. The position serves as Chair of the Interdisciplinary Science and Engineering (ISE) Symposium planning committee and coordinates the planning and execution of this major annual undergraduate research event, along with other assigned Dean’s Office events and activities. The position also provides administrative and operational support to the Technical Service Center, including purchasing, Workday and UShop processes, deliveries, recordkeeping, and coordination with campus partners, and supports the Associate Dean for Research with scheduling, research-related data, meetings, and programs. The successful candidate will be highly organized, able to manage multiple priorities and deadlines, communicate effectively with a wide range of university and external partners, and provide reliable follow-through across several functional areas. This position is scheduled to work 40-hour weeks during the academic year only and is not scheduled to work during the summer period between academic years. Duties/Responsibilities Dean’s Office Event Planning and Management: 40% of time
- As Chair of the URC Interdisciplinary Science and Engineering (ISE) Symposium, oversee the planning and execution of the Symposium with annual participation of 500+ students from CEPS and other university colleges.
- Schedule, create agenda and lead meetings of the ISE Planning Committee comprised of faculty from all college departments, COLSA faculty and support staff.
- Manage all logistics to ensure a successful event, including online student registration, student communication of assignments and announcements through myCourses.
- Solicit judges from industry, alumni and faculty; coordinate with the event venue and university support departments; and support event marketing to prospective students, alumni, parents of participants and the general public.
- Maintain current planning timelines, deadlines, follow-up actions, and shared event records to support timely execution and continuity from year to year.
- Oversee planning and coordination for other assigned Dean’s Office and college-wide events and activities throughout the academic year.
- Create event signage and coordinate refreshments, parking, space rentals, vendors, and other operational needs for assigned Dean’s Office events.
- Use graphic design software and other appropriate tools to create and prepare print and digital materials for Dean’s Office events and communications.
- Support Dean’s Office digital signage, visual communications, and related content as assigned. Technical Service Center Staff: 30% of time Serve as the administrative support for the CEPS Technical Service Center. Assist the TSC Director and members with WorkDay activities, UShop submission, procurement and delivery processes and Teamdynamix tickets as well as other administrative tasks. Schedule TSC team meetings and serve as a liaison between the CEPS dean’s office, UNH facilities and the TSC.
- Provide administrative coordination and support for TSC operational processes, including procurement, ordering, deliveries, recordkeeping, and related activities, and follow through with TSC staff and campus partners as needed.
- Schedule meetings and support communications between CEPS dean’s office, facilities, faculty and TSC personnel, as needed. Associate Dean of Research Support: 30% of time Manage the ADR dean’s calendar as related to coordinating meetings with CEPS faculty, industrial partners, campus research partners, the UNH Graduate school and others as needed. Collect and compile data on graduate students, research expenditures, CEPS research proposals and collaborations. Manage graduate student support activities through coordination with the CEPS faculty fellow for graduate studies.
- Prepare research-related data set and graphs as requested.
- Support organization for graduate student meeting
- Organize CEPS research round table gatherings on selected research-related topics to promote and support research enterprise in CEPS.
- Assist with preparation of meeting agendas, background materials, talking points, and presentations for the Dean, take minutes, and track follow-up actions. Requirements Minimum Acceptable Education & Experience:
- High school diploma or equivalent.
- Two years of progressively responsible administrative or office management experience, preferably in an academic or nonprofit environment. Knowledge, Skills & Abilities:
- Exceptional organizational, interpersonal, and written/verbal communication skills.
- Demonstrated ability to manage multiple priorities, deadlines, and confidential information with discretion.
- Proficiency in Microsoft Office Suite, and enterprise software such as Workday.
- Strategic thinking with attention to detail and a proactive approach to problem-solving.
- Strong leadership and team-building skills, with commitment to fostering a collaborative and inclusive workplace. Other Requirements:
- Standard office environment with occasional evening or weekend hours for events or peak periods.
- Hybrid work arrangements may be available in accordance with university policies. Preferred Qualifications:
- Bachelor’s degree in Business Administration, Higher Education Administration, or related field preferred.

Compensation Pay Range: $17.57 - $28.96 The pay range for this position is listed above.
